What your ATS website integration should actually do

3 min readTRG Digital

Many recruitment websites claim to be integrated with an ATS. In practice, that often means a one-way job feed that breaks every few months, CVs arriving by email, and consultants re-keying details into candidate records.

A proper integration should make your website part of how your team works, not another system to maintain.

Jobs should publish themselves

When a consultant approves a vacancy in the ATS, it should appear on your website within minutes, with a clean URL, the right sector and location tags, and complete structured data for Google for Jobs. When details change, the website should update. When the role is filled or closed, it should come down automatically.

Stale listings are one of the quickest ways to lose candidate trust. Automation removes the problem entirely.

Multiposting from one place

The same approval can trigger posting to LinkedIn and your chosen job boards, so every channel shows the same accurate information. Consultants post once and spend the time saved on calls.

Applications should go straight back in

Every application from your website should create or update a candidate record in the ATS, with the CV attached and parsed, the job linked and the source recorded. Duplicate detection should match returning candidates on email and phone, so you do not end up with three records for the same person.

Consent and data retention preferences captured on the website should travel with the application, keeping you compliant with GDPR without extra admin.

Consultants should be visible

Linking each job to the consultant who owns it lets candidates see who they will be speaking to, and lets you build consultant profile pages that show live roles. This improves trust and response rates, and it supports your SEO.

Reporting should connect the dots

The most valuable integrations track a candidate from first click to placement. Which job board, campaign or search term produced the applicants who were placed? With source data flowing into the ATS, you can answer that question and spend your budget accordingly.

Failures should be visible

Integrations occasionally fail. An API changes, a field is renamed, a feed times out. The difference between a good integration and a bad one is whether you find out from an alert or from a frustrated candidate. Look for sync monitoring, error logs, automatic retries and a clear support process.

Choosing the right approach

Most modern recruitment ATS and CRM platforms offer an API or job feed. Where they do not, middleware can bridge the gap. The right approach depends on your system, your volume and how much two-way data you need.

The questions to ask

  • Do jobs publish and expire without anyone touching the website?
  • Do applications arrive in the ATS with CVs, source and consent attached?
  • Are duplicates handled automatically?
  • Will we be alerted if the sync fails?
  • Can we report from source to placement?

If the answer to any of these is no, your integration is costing your consultants time every week.
